Overview
Represented employees at the Treasurer and Tax Collector’s office who are absent from work due to a serious injury, prolonged illness, or a Board-declared emergency and have exhausted all paid leave time are eligible to receive donated leave from other represented employees.
Eligibility Requirements
There are two qualifying categories:
Category 1: Serious Injury or Prolonged Illness
The employee must be absent from work due to a serious injury or prolonged illness. The employee must have exhausted all paid leave time before receiving donated leave.
Category 2: Board-Declared Emergency
The employee must be absent from work due to a Board-declared emergency. The employee must have exhausted all vacation (including vacation-in-lieu-of-pay or VILOP), accrued overtime, and holiday time before receiving donated leave.
How to Submit a Request
1. Go to the Help Center and select the Leave Donation Request form.
2. Select your qualifying category (serious injury/prolonged illness or Board-declared emergency).
3. Provide the following information: your full name, employee number, payroll title, and the duration of leave (start and end dates).
4. If you are applying under the Board-declared emergency category, include a description of the nature of the emergency.
5. If you know who will be donating leave time, ask the donor to complete the Authorization to Donate Leave form and attach it to your request.
6. Submit the form. You will receive a reference number for tracking.
What Happens After You Submit
1. Payroll reviews the request and verifies eligibility.
2. The Division Manager verifies that the employee qualifies for donated leave.
3. The Treasurer and Tax Collector’s office issues a final approval or denial.
4. If approved, Payroll prepares a memo and posts the information to the TTC intranet so other employees are aware of the donation opportunity.
5. The information is logged and uploaded to the Payroll SharePoint folder.
